Responsibilities

  • Responsible for a diverse range of activity to support the delivery the projects within the customer Project Portfolio. 
  • Enables the smooth running of projects by supporting the Project Managers through the operation of project management processes, and the co-ordination of administration and management actions and activities on their behalf.  Assist with and maintain appropriate processes and practices to enable effective planning and scheduling;
  • Acts as the focal point for the oversight of project processes including vendor and contract management, contract approval and financial management including transfer pricing arrangements and oversight of expenditure types.
  • Responsible for project file management using robust version control. Organises key project meetings, and provides secretariat support;
  • Assists in maintaining project controls and in producing project reports;
  • Assist with maintaining the stakeholder log for internal and external stakeholders. Act as a focal point for project responses to requests for information;
  • Monitor project spend and contribute to the compilation of budgets. 
  • Assist with the maintenance of risk and issue logs, escalating as appropriate.
  • Advise Project Managers on tools and techniques for managing various categories of stakeholder relationships within Customer organisation. Provide assurance to the project manager on the effectiveness of stakeholder management arrangements;
  • Collaborate with key stakeholders, including, but not necessarily limited to: regional functional leads, project implementation teams in countries to support reporting, and ensure the smooth implementation of project management processes, standards and tools across the APAC region.  
  • Build and maintain relationship with key stakeholders, including: teams controlling dependencies, administration teams and 2nd line assurance teams. 
  • Establish the project processes and standards for managing risks and issues. Provide assurance to the Project Manager on the effectiveness of risk and issue management arrangements and associated timely status reporting;
  • Implement and support the ongoing framework to monitor and measure project performance, including scope, schedule, budget, and quality, and track projects progress and outcomes. 
  • Collect and analyse project data, such as key performance indicators and metrics.  
  • Provide project status updates and report to senior management and key stakeholders.
  • Identify opportunities for process improvement and efficiencies within the across in scope project standards and processes.
  • Support lessons learned sessions and incorporate best practices into future project management efforts.
  • Stay updated with domain trends and best practices.

Requirements

  • Bachelor’s degree in a relevant field, such as business administration, project management, and etc. with 5 to 10 years similar experience 
  • Ideally holds a current Project Management Institute certification or equivalent or be in the process of obtaining this certification e.g. PMP, Agile
  • Good to have O365 and local internet gateway (zScaler) knowledge 
  • Proven experience in project management or project management office in a leadership role, preferably in a financial service industry.
  • Strong knowledge of project management methodologies, tools, and techniques. 
  • Excellent leadership and team management skills, and communication and stakeholder management skills.
  • Ability to drive consensus among stakeholders with competing interests, while balancing budget, timelines and risks.
  • Experience working with geographically distributed team and a complex vendor landscape.
  • Strong analytical and problem-solving abilities.
