Responsibilities

1. Provide administrative support on recruitment matters 
  • Collate, verify and ensure documents are duly signed and highlight on exceptional remarks 
  • Prepare Cover letters 
2. Perform P-filed maintenance, ensure documents are duly signed, named and filed correctly. 
  • P-file candidate documents related to recruitment process. 
  • Resave (per document), rename, verify and ensure documents are duly filled, duly signed 
  • Highlight to MMO-PIC on out of norm cases for further action 
  • Perform sanity/sample checks on p-file 
3. Provide liaison on new hires on-boarding with internal and external customers. 
  • Liaise, schedule and attend to queries on pre-employment medical check-up 
  • Send welcome email to all new hire on Day 1 
4. Perform timely and accurate update on recruitment tracking files 
  • Support MMO-PIC to prepare FY combined hiring file 
  • Combine submission from 3 institutions and upload into SharePoint. 
  • Update tracking file 
  • Support creation of ad-hoc files created for specific project 
  • Perform self-check and ensure all documents are ready for audit 
5. Support correspondence with internal and external customers 
  • Email MOHH to perform Primary source verification SR turn AC 
6. Support preparation of monthly MMO reports 
  • Combine excels into draft file 
7. Provide admin and logistic supports on department projects, exp. Engagement session, TPM etc. 
  • Booking of Meeting Rooms 
  • Set calendar invites, send email, whatsapp, reminder calls etc. 
  • Create EDMs, provide periodic updates on attendance 
  • Arranging of beverages and food 
8. Any ad-hoc duties assigned by the supervisor 

Requirements

  • Diploma in Human Resource or Business-related discipline
  • Minimum 1-2 years of relevant experience
  • Able to manage high-volume activities and handle data confidentiality
  • Able to work under tight timeline and respond to changing priorities
  • IT savvy and comfortable with the use of Microsoft Excel to handle large amount of data
  • Organised, meticulous and proactive

Shortlisted candidates will be offered a 1 year agency contract employment.
